Data and Exams Manager

The post holder will be responsible for the implementation, management, and control of the Academy’s Management Information System, and administering and running exams. They will be required to implement, manage, and control the Academy’s Management Information System, including all areas of data input, output, and integration with SIMS. The Data and Exams Manager will also be responsible for supporting other departments in areas such as timetabling, attendance monitoring, and exam data.

The ideal candidate will have:

An understanding of the Data Protection Act and how it relates to the role and responsibilities
Experience of working with Management Information Systems, particularly SIMS
The ability to interpret and analyse data in order to advise Senior Leaders
Experience of administering and running exams
Experience of working at a senior level
NVQ4 or Degree or equivalent qualification / relevant experience
Main responsibilities

The post holder must have an understanding of the Data Protection Act in relation to his/her role and responsibilities.The post holder will be required to construct, maintain and update the timetable of the Academy, in liaison with the Principal Director of Teaching and Learning (Achievement).
The post holder will be responsible for the implementation, management and control of the Academy’s Management Information System, including all areas of data input, output and integration with SIMS. This includes attendance, assessment and reporting, Census returns, admissions/leavers, exclusions, timetabling, student details, staff details and supporting the exams office in importing examination data.
Duties and activities

Ensure appropriate access and user rights to the MIS
Manage and organise the maintenance, recording and upgrading of processes in relation to MIS
Liaise with the ICT service provider over operational issues connected to the MIS software
Manage the collection and collation of relevant accurate data including the ownership of student and staff-related data so that all information stored is accurate and up-todate, as well as being accessible in the required formats
Manage the recording of students’ special educational needs through liaison with the Assistant Director for Inclusion
Analyse and interpret data to inform leadership and management decisions
Manage the collection of assessment data from individual teaching staff in line with the Academy’s procedures in order to ensure that student-level data can be analysed on a regular basis
Maintain assessment records which show student attainment and progress, ensuring these are accurate, reliable and produced in a timely manner
Provide reports, as requested, for the DfE, E-ACT, LGB, LA, Acting Principal, SLT, staff, students and parents regarding assessment information as per agreed timescales
Provide assessment and target-setting information for students and staff, including SLT across the Academy
Assist with Academy annual student reporting procedures so that students and parents receive clear and regular feedback on achievement
Oversee cover and ensure that this is organised efficiently and in a cost-effective way
Oversee the management of casual admissions and leavers’ procedure to ensure the relevant information is collected and stored
Maintain the integrity of and ensure all information systems are functional and relevant
Ensure the database is backed up regularly and make certain it is secure
Improve the functionality and effectiveness of existing systems and process and where appropriate, replace with new of modified systems
Act as the training champion for staff, ensuring information systems are used confidently and competently, and to the greatest benefit of the Academy
Ensure the Academy complies with the Data Protection Act, Freedom of Information Act and other laws relating to information management
Work with and support the Examinations Officer
Person Specification

Required experience

Experience of working with Management Information Systems (particularly SIMS)
Knowledge and understanding of the data requirements in an education setting
Ability to interpret or analyse data and information to advise Senior Leaders
Experience of working at a senior level

NVQ4 or Degree or equivalent qualification /relevant experience
Knowledge and skills

Good knowledge and working understanding of SIMS and Microsoft Office, particularly Excel
Excellent organisational skills
Excellent communication skills
